A sponsorship request letter is a letter written, most often by a non-profit, to request financial support for an activity, event, or program. Unlike other donation requests, requests for sponsorship typically offer benefits or rewards for potential sponsors.

Receipt – Though not always required, a charitable organization should provide a receipt for any sponsorship it receives.

Sponsorship vs. Donation

Unlike a one-time donation, a sponsorship can be the basis for a long-lasting relationship between a corporation and a non-profit. Sponsors also typically receive benefits like advertising space, inclusion in event programming, or free tickets to an event or activity.

Is a Sponsorship Tax Deductible?

A sponsor may be able to deduct part of their sponsorship if they are giving to a qualifying tax-exempt charitable organization. Use the IRS search tool to verify whether an organization is tax-exempt.

However, if the sponsor receives a benefit or reward in exchange for a charitable contribution, they may only deduct the amount of their contribution that exceeds the fair market value of the benefits received.[1]

Recordkeeping Requirements

A sponsor that intends to deduct their charitable contribution must maintain a record of their sponsorship in the form of a bank statement or a written receipt from the organization they are sponsoring. If they received a benefit for their sponsorship, this receipt must describe the benefit and provide a good-faith estimate of its fair market value.[2]

1. Introduce Yourself and Your Organization

State your name and your position within your organization. Describe the organization’s mission and what sort of events or activities it usually undertakes. Include any notable past events or programs your organization has held.

2. State Your Request

State near the beginning of your letter that you are asking the recipient to sponsor an event, activity, or program.

3. Describe the Event and Its Impact

Give specific details about what the event or program will entail, when and where it will take place, and what impact you anticipate it will have. In describing this impact, highlight those outcomes that will be most appealing to the sponsor.

4. Explain Why You Want to Partner with the Sponsor

Describe how your organization’s mission and that of the potential sponsor are similar. If applicable, explain how the sponsor’s organization would be particularly well suited to providing the type of support that your event or program needs.

5. Describe the Sponsor’s Potential Benefits

Describe the benefits or rewards that the recipient would receive in exchange for sponsoring your event or program. If there are different potential benefits for different levels of sponsorship, be sure to explain these different options.

6. Express Gratitude

Expressing gratitude for the recipient’s consideration, even if they deny your request for sponsorship, may make it more likely that they will support your organization in some other way in the future.
