A business meeting agenda is a written plan for a business meeting. It outlines the topics of discussion and activities that will occur at the meeting. The agenda will include the main goals of the meeting and all information, action, and discussion items that are relevant to the stated goals. During the meeting, the secretary will record all discussions, actions, and votes in the business meeting minutes.

Formatting (8 Parts)
I. Opening
The leader of the meeting begins with an opening statement to welcome all meeting attendees and summarizes the goals of the meeting.
II. Attendance
The secretary takes attendance of all those present and notes any relevant absentees.
III. Agenda Approval
The meeting leader reviews the agenda with all attendees. The group has the opportunity to submit requests for additions to the agenda, after which a vote is conducted to approve the final agenda.
IV. Distribute Previous Meeting Minutes
The secretary distributes the minutes from the group’s most recent meeting. The attendees then vote to approve the minutes as they understand them from the previous meeting.
V. Old Business
Outstanding business items from the previous meeting are discussed. The attendees vote on any decisions that must be made.
VI. New Business
New business items from the current agenda are discussed. Any relevant reports or documents are distributed at this time. The attendees vote on any decisions that must be made.
VII. Other Items
Any other items that have not been discussed will be mentioned at this time. If there are no other business items to consider, this step can be eliminated from the agenda.
VIII. Adjournment
The meeting leader approves the current meeting minutes and ends the meeting.
