The car rental receipt can be used by any rental dealership to provide a proof of purchase to their customers. The exact model of the vehicle must be specified followed by the cost per day, the number of days it was rented, and the resulting total charge. As many rental vehicles are used for business purposes, this receipt will often be necessary to enable the driver or company renting the vehicle to deduct the cost as a business expense. While it is common for such a receipt to be provided through the rental company’s website, a template such as this can be a useful alternative should the renter desire a physical proof of payment.

2 – Clearly Identify This Paperwork And The Parties Involved

Directly below the title of this document (“Car Rental Receipt”) is the first set of lines labeled with information requested as content. Therefore, enter the “Date” of the Customer’s car rental payment on the first blank line and the unique number meant to refer to this receipt in the future on the second blank space. The second area of this receipt consists of two columns. Gather the records identifying the two parties of this transacts (the Rental Car Company and The Customer or Lessee) then turn your attention to the first column. First, furnish the legal name of the Lessor who will allow the Customer access to the vehicle for a limited amount of time in exchange for the funds provided on the blank space labeled “Company.”The Contact Person for the Rental Company will need to be presented in this column. His or her name should be produced on the blank space labeled “Representative.” Finally, complete this column by submitting the street address on the blank space labeled “Location,” its “City/State/ZIP” on next blank space, and the telephone number where this entity can be reached on the line labeled “Phone.” The second column handles the identification of the Lessee or the Customer who has paid to have temporary access to the concerned vehicle. The first requirement here will be to produce the full “Name” of the Rental Customer on the first blank space along with his or her driver’s i.d. number on the line labeled “License #.”  Now, supply the Rental Customer’s “Address,” his or her city, state, zip code, and telephone number using the three lines labeled “Address,” “City/State/ZIP,” and “Phone.” 

 

3 – Document The Vehicle Details And The Rental Terms

The vehicle that the Lessor has rented to the Lessee should also be detailed to the benefit of both parties. The section “Vehicle Information” will also contain two columns. The vehicle identification number used to identify the car should be supplied on the “VIN” line. Moving down this column, report the Vehicle’s “Make,” “Year,” and “Color” on the appropriately labeled blank spaces. The next column in this section will require some additional details. Here, look for the line “Registration #” then enter the identification number assigned to the vehicle by local Department of Motor Vehicles (or similar entity) when it was registered with this entity. Follow up this information with the number of miles this vehicle will travel for every gallon of fuel or the number of kilometers per liter. The table occupying the center of this receipt contains several columns. We will use these columns to give some additional information defining the rental transaction that has occurred between the parties above with the concerned vehicle. First, verify the “VIN” of the vehicle we are discussing in the first column. As we continue across the row, report the exact dollar amount that was paid for every day this vehicle was leased on the blank space in the “Cost/Day” column. The duration of the vehicle leasing must be defined as a number of days. Produce this time period in the column “# Of Days.”The next column, titled “Additional Costs,” will give you an area where any money that must be charged to the Rental Customer in addition to the agreed upon rental rate can be clearly presented with the vehicle you identified in the first column.  Now, some basic arithmetic must be performed to properly document the concerned transaction. Working across each row with information, multiply the number in “Cost/Day” against the number of days you reported. Now, add the number in “Additional Costs” to the product of this multiplication. Supply this sum to the “Line Total” column. 4

Every number in the “Line Total” column should be added to one sum and entered in the “Subtotal” box. The row labeled “Tax” will need two values. First, record the percentage the government requires you multiply against the “Subtotal” in the parentheses with the percent sign. Now, multiply the percentage you reported by your Subtotal and document this dollar value in the adjacent box.  Complete the report by adding the “Subtotal” and the tax amount in the “Total” box. Since, this is a receipt it must act as documentation of the dollar amount the Customer has submitted to the “Amount Paid.” Now, we will indicate precisely how the Rental Customer or Lessee has submitted the payment you defined. Four checkboxes on the left (“Cash,” “Check. No.,” “Credit No.,” and “Other”) have been supplied so you can enable this documentation The Rental Agent or Representative of the Lessor must sign his or her name on the “Authorized Signature” then print it on the “Representative Name” line.
