First-time meeting minutes are used to take notes at a supervisor’s first one-on-one meeting with a new employee. These are more casual than formal business meeting minutes. They record personal information about an employee and can be included in the employee’s personnel file.

Formatting (8 parts)
I. Meeting Details
- Supervisor;
- New employee;
- Date and time; and
- Location (street address, city, state, and zip code).
II. Introduction
- Supervisor’s introduction to the company and position.
III. Personal Background
- Relevant or interesting details about the employee’s personal life and background.
IV. Communication
- Record the preferred method of communication between the supervisor and employee
V. Availability
- Record the employee’s shift availability, including nights, weekends, and holidays, if applicable.
VI. Goals and Aspirations
- Record the employee’s goals with their position and the company; and
- Record the employee’s broader career goals and how this position and company fit into them.
VII. Types of Work
- Note the employee’s special and advanced skills; and
- Record all of the employee’s responsibilities.
VIII. Frequency
- Determine how often the supervisor and employee will have recurring one-on-one check-in meetings.
